Finished and flat dimensions Provide both the folded or assembled size and the flat outline when relevant.
Paper grade State grade, GSM or thickness as needed, with the desired print and handling requirements.
Print sides and copy versions List printed sides and quantities for each artwork, language or data version.
Fold, hole and fastening Mark folds, holes and fixing positions, then check the item in its final placement.
Placement in the pack Show how the card, tag or envelope is held, read and removed within the full pack.
Quantity Quantity per style, size and artwork design. Standard MOQ is 500 pieces; higher quantities may apply.
Artwork PDF, AI or CDR artwork where available; JPG/PNG references and Excel specifications can support the brief. Files are reviewed for their intended use.
Delivery Destination, target date and whether packaging should arrive assembled or flat, where applicable.

Paper stock and printed surfaces

SBS paperboard Discuss a white printed surface for clear graphics and text. Choose the thickness around stiffness, folding and the intended attachment.
Kraft paper Consider a natural paper appearance and review how it changes the printed colours. Check small text on a physical proof.
Specialty or recycled paper Request the intended texture or material specification. Confirm print, finishing and any material claim against the selected stock.

Card format and available pack space

Finished card or folded-leaflet size and the available space in the package.

  • Measurement reference: Give units and label product, internal or external dimensions. Include a drawing or reference sample if available.
  • Multiple sizes: List quantities by size. A size change may require a revised structure, artwork or sample.

Print preparation Specification and confirmation
Print areas Mark printed faces, unprinted areas, text and codes. The material and order requirements determine the printing method.
Colour reference Provide CMYK artwork or a Pantone reference where available. Approve colour on the agreed material and sample; screen previews show layout.
Files and versions Send PDF, AI or CDR artwork if available; JPG/PNG references and Excel specifications or data can support the brief. Files are reviewed before production.

Print finish and writing areas

Availability depends on the material, structure and intended use.

  • Matte or gloss finish: Choose the appearance of the printed faces. If a surface must be written on, discuss that area before adding a coating or lamination.
  • Foil or relief detail: Mark the logo or feature to highlight. Review the paper, detail size and distance from holes, folds and trimmed edges.
  • Printed data and codes: Separate fixed artwork from changing information. Approve the data, position and readability on the finished piece.

Organise language versions and required diagrams before fixing card size. Coordinate the card with the product revision rather than reusing an outdated file.

Specify flat or folded supply and the packing sequence; verify that the customer can find and remove the card.

  • Working layout: Send a drawing, reference or actual product. Identify fixed requirements and options to compare.
  • Supply and assembly: Specify flat or folded supply, version-separated bundles and whether strings, envelopes or other agreed components are packed separately or assembled.
  • Component matching: For a multi-part pack, list component sizes, assembly order and which parts the quotation includes.

Sample checks: instructions and product revisions

Ask a reader to follow the instructions from the printed sample. Check that it fits the packaging without folding over or hiding important content.

Choose the right sample stage

  • Structural sample: Check dimensions, assembly, fit and opening or application with the actual contents where relevant.
  • Printed sample: Check print areas, colour and finish. Record any differences between the sample process and bulk production.
  • Production reference: Approve the sample and artwork version before production. Recheck affected parts after changes to dimensions, materials or functional components.

Sample fees, shipping and timing are quoted per project. A visual proof cannot replace physical checks.

Confirm the brief and quotation

Agree quantities by size and artwork, materials, printing, finishes, components, and any tooling or assembly charges.

Approve samples and files

Record the approved sample and artwork. Scheduling follows the required sample, artwork, deposit and order confirmations.

Produce and inspect

Agree inspection methods and acceptance criteria for materials, dimensions, print, appearance and relevant assembly or fit.

Pack and deliver

Production and transit times are assessed separately. Confirm the destination, transport arrangement and delivery responsibilities.
